Quotes from your catalogue

Build a priced quote for a lead from your catalogue, have it approved when it needs to be, send it as a private link and PDF, and revise it without losing track

A quote in ClientTurn is built from your catalogue, the products and services you sell with their prices. ClientTurn calculates every total, discount, VAT amount and deposit for you. Nobody types a figure, including the assistant.

Quotes, e-signatures and invoicing are included on every paid plan. They are not available during the free trial.

Set up once

  1. Step 1: Open Settings → Quotes & invoices.
  2. Step 2: Under Your business on quotes and invoices, add your legal name, address and, if you are VAT registered, your VAT number. Your logo comes from your business profile.
  3. Step 3: Set how long quotes stay valid, your payment terms, and optionally a default deposit.
  4. Step 4: Write your quote terms. They are printed on every quote and PDF.
  5. Step 5: Under Catalogue, choose Add item for each product or service you sell. For each item, give:
    • the price per unit;
    • the unit (project, hour, seat, month);
    • whether it is one-off, recurring or usage-based;
    • its VAT rate.

You can also add price tiers, add-ons and bundles. Only owners and admins can change prices, VAT and terms.

Build a quote

  1. Step 1: Open the lead, then choose New quote on the Quotes card.
  2. Step 2: Add lines from your catalogue, with a quantity and, if you want, a line discount.
  3. Step 3: Add a quote discount or a deposit if you need one. The totals update as you type.
  4. Step 4: Choose Create draft.

The quote is numbered straight away, for example Q-00012, and stays a draft until you send it.

Approval

If your workspace has approval rules (Growth plan and above), a quote that breaks one can't be sent until someone approves it. Rules can cover a discount above a percentage or a quote value above an amount.

When a quote needs approval:

  1. Step 1: Choose Request approval.
  2. Step 2: An owner or admin opens the lead and chooses Approve or Reject.

Only a person can approve a quote. The assistant never can.

Send it

Choose Send, then pick one of these:

  • Email it to the customer. The email goes out through your normal sending rules, so quiet hours and opt-outs are checked first.
  • Just give me the link to share.

When you send, the quote is frozen exactly as it is. Your customer gets a private link to a page showing your branding and the quote, with a PDF to download. The page also shows "Powered by ClientTurn".

To send the link again, choose Resend link. A new link is created and the old one keeps working.

If the customer hasn't opened the quote after three days, ClientTurn sends a reminder. It sends another two days before the quote expires. No reminder goes to a customer who has replied since. Reminders respect your contact-frequency limits, and you can turn them off under More options.

When the assistant quotes

If you turn on Draft quotes in Settings → AI & selling → What the AI may do, the assistant can quote a lead who asks for a price for something in your catalogue:

  1. Step 1: It asks for anything the price needs, one question at a time: how many, which options, and when they want to start. It never asks for something the lead has already told you.
  2. Step 2: It builds the quote from your catalogue. Each request gives one quote, even if the lead asks twice.
  3. Step 3: If your rules say the quote needs approval, it asks for it and tells the lead the quote is being checked. Otherwise it sends the quote if you turned on Send quotes, or leaves it for you to send.

The assistant only states figures the quote itself shows, exactly as they appear. It never works out a price, never adds VAT on its own, and never promises a start or delivery date.

Discounts

With Offer discounts on, a lead who asks for a better price gets an answer within your limits:

Your limits sayWhat happens
AllowedThe assistant takes the discount off, issues a revised quote and sends it if it may
Needs approvalThe discounted quote waits for an owner or admin, and the lead is told honestly it is being looked at
Not allowedThe price is held politely, and the assistant asks what matters most to them

A second discount on the same quote always goes to a person.

Reminders and what happens next

  • If the quote hasn't been opened after three days, the lead gets a reminder. Another follows two days before it expires.
  • A lead who opens their quote three or more times is marked as a strong buyer, so they rise in your priorities.
  • If the lead has replied since the quote went out, no reminder is sent.
  • A week after a quote expires, the lead gets one check-in offering to refresh it. It names no price.
  • As soon as a quote is paid, deposit or in full, all sales follow-up to that lead stops.

If you and the assistant both work on the same lead at once, one of you is asked to wait a moment, so the lead never gets two quotes.

Change a sent quote

A sent quote cannot be edited. To change it, choose Revise:

  1. Step 1: This starts a new revision, and the customer's old link stops working.
  2. Step 2: Edit the revision.
  3. Step 3: Send it again.

The Timeline on the quote shows every step, and earlier revisions stay listed.

Expiry and withdrawal

A quote expires at the end of its valid-until date. After that it can't be accepted, and the customer sees a note asking them to contact you. Withdraw ends a quote early and stops its link working.
